# Require terms acceptance before dashboard access

> Publish your organisation's terms and conditions from the T&C Manager, so every dashboard user accepts them at sign-in, and ask existing users to accept again when a new version is published.

This guide publishes your organisation’s own terms and conditions, the Customer T&C, from Settings → T&C Manager, so each dashboard user accepts them before working in the dashboard. Without Customer T&C, dashboard users accept only the Affinidi Terms, and the appliance holds no record that each person agreed to your organisation’s own usage rules.

Use this guide when:

- Your organisation requires dashboard users to agree to an acceptable-use policy or similar terms before using the appliance.

- Your terms have changed, and existing users must accept the new version.

- You need to stop requiring your terms while keeping the history of what users accepted.

## Prerequisites

- The Administrator role. By default, only an Administrator can see and use the T&C Manager tab. See [RBAC →](/products/affinidi-trust-fabric/agent-stream/reference/security/rbac.md).

- Your terms document, published at an https:// URL that every dashboard user can open.

- A version label for this document, such as 1.0 or 2026-10. Each version you publish must use a label you have not published before.

## Steps

Open the T&C Manager

Select Settings in the dashboard sidebar, then select the T&C Manager tab. It has three cards:

- Affinidi Terms: the title and version of the Affinidi Terms, with a View Terms link. This card is read-only.

- Customer T&C: where you publish your own terms.

- Published history: every version of your terms published so far.

Enter your terms

In the Customer T&C card, fill in:

- Title: the name users see, for example Acme acceptable use policy.

- Version: the new version label.

- HTTPS document URL: the https:// address of your terms document.

Choose whether existing users accept again

Leave Require existing users to accept this version at their next login on, which is the default, to ask every user who has not accepted this exact version to accept it at their next sign-in.

Turn it off to let users who accepted an earlier version of your terms keep signing in without accepting again. Users who have never accepted any version of your terms still accept this one at their next sign-in.

Publish the terms

Select Publish. The tab shows “Customer T&C published.”, the Customer T&C card shows “Current: title · version version” with a View Terms link, and the version is added to Published history.

To stop requiring your terms later, select Deactivate on the Customer T&C card and confirm with Confirm deactivation. Published versions and acceptance records are kept.

## Confirm

### Test 1: publishing a version returns a new row in Published history

On the T&C Manager tab, look at the Published history card. Expected: a row with your Title and Version, Re-consent showing Required or Not required to match the switch, and a View link under Document that opens your terms.

### Test 2: signing in as an existing user returns the Review the Terms page

Sign out, then sign in again with an account that has not yet accepted this version, such as your own administrator account. Expected: the Review the Terms page appears, with the line “Accept every applicable document to continue.” It shows one “I agree to title (version version).” checkbox for each document still to accept, each with a View Terms link. Accept and continue stays unavailable until every box is ticked, and Sign out leaves without accepting. After you select Accept and continue, the dashboard opens.

People who register a new account accept the current terms on the registration form, with an “I agree to title.” checkbox for each document.

## Troubleshooting

| Symptom | Likely cause | Fix |
| The T&C Manager tab is missing from Settings. | The signed-in account does not have the terms permissions, which only the Administrator role holds by default. | Sign in as an Administrator, or ask one to change your role, as in [Limit dashboard actions with RBAC roles](/products/affinidi-trust-fabric/agent-stream/how-to-guides/security/limit-dashboard-actions-with-rbac-roles.md). |
| Publish is unavailable, and Version reads “This version has already been published. Enter a new version.” | The version label matches one already listed in Published history. | Enter a new version label. Use a new label whenever the terms content or URL changes. |
| Publishing fails with “Terms URL must be an absolute HTTPS URL”. | The HTTPS document URL uses http:// or is not a full address. | Enter the full https:// address of the document. |
| Publishing fails with “Terms URL must not contain credentials”. | The URL includes a user name or password before the host. | Publish the document at a URL that opens without credentials in the address. |
| Users who accepted an earlier version are not asked to accept the new one. | Require existing users to accept this version at their next login was off when the version was published. | Publish a new version with the switch on. |
